2. UK legal framework

Where UK data protection law applies, we process personal data in accordance with the UK GDPR and the Data Protection Act 2018. For cookies and similar technologies, we follow the Privacy and Electronic Communications Regulations 2003 (PECR).

3. What data we collect

  • Technical data (e.g. IP address, device and browser information, date/time of access, referrer URL) in server logs.
  • Contact data you provide (e.g. name, email address, message content) when you contact us.
  • Usage/analytics data (only if you consent), collected via Google Analytics.

4. Why we use your data (purposes) and lawful bases

4.1 Website operation, hosting and security

We use hosting and security measures to provide the website securely and reliably, including processing server log data and using security tools to detect and block malicious activity.

Lawful basis: Legitimate interests (UK GDPR Article 6(1)(f)) – running and securing our website.

4.2 Contact requests (form / email / phone)

If you contact us, we process your details to respond to your enquiry and manage follow-up communication.

Lawful basis: Contract / pre-contract steps (UK GDPR Article 6(1)(b)) where relevant; otherwise legitimate interests (UK GDPR Article 6(1)(f)) in handling enquiries efficiently.

4.3 Analytics (Google Analytics 4)

We use Google Analytics 4 to understand how visitors use our website (e.g. page views and interactions) and to improve the site. Analytics cookies/IDs may be used for this purpose.

Lawful basis: Your consent (UK GDPR Article 6(1)(a)) and, for cookies/terminal equipment access, PECR consent. Google Analytics is only activated after you opt in via our cookie banner/settings (if implemented).

5. Cookies and similar technologies (PECR)

We may use cookies and similar technologies. Some cookies are strictly necessary for the website to work. Non-essential cookies (such as analytics cookies) require your prior consent under PECR.

You can withdraw or change your choices at any time via the cookie settings (if available) and through your browser settings.

6. Hosting provider (processor)

We host this website with:

TrafficPlex GmbH (lima-city)
Konsul-Smidt-Str. 90
28217 Bremen
Germany

Personal data (such as log data and enquiries) may be processed on the host’s servers as required to provide the service.

7. Book sales via external shop (BoD link)

The book is sold via an external BoD (Books on Demand) shop. This website only provides links that redirect you to BoD. When you click a BoD link, you leave our website and BoD becomes responsible for processing your data on their platform.

BoD privacy information: https://www.bod.de/datenschutz

8. Google Fonts

We use Google Fonts for consistent typography. If fonts are loaded from Google servers, your browser may connect to Google and your IP address may be transmitted. Where applicable, this should be controlled via your consent settings. We recommend hosting fonts locally to reduce third-party data sharing.

9. Security (Wordfence)

We use Wordfence (Defiant Inc., USA) to protect the website from unauthorised access and attacks. This may involve processing technical data (including IP addresses and access attempts) to detect and block threats.

Lawful basis: Legitimate interests (UK GDPR Article 6(1)(f)) – website security.

10. International data transfers

Some service providers may process data outside the UK, including in the United States. Where relevant, transfers are safeguarded using appropriate mechanisms under UK data protection law, such as the UK-US Data Bridge (UK Extension to the EU-US Data Privacy Framework), or other recognised safeguards (e.g. contractual safeguards).

11. How long we keep your data

We keep personal data only as long as necessary for the purposes described above, and longer where we must do so to comply with legal obligations. Contact enquiries are typically deleted once resolved, unless retention is required for legal reasons.

12. Your rights (UK)

You may have the right to:

  • Access your personal data
  • Rectify inaccurate data
  • Erase data (in certain circumstances)
  • Restrict processing
  • Data portability
  • Object to processing based on legitimate interests
  • Withdraw consent at any time (where we rely on consent)

To exercise your rights, contact us at: info@orion-tropis.com

13. Complaints (ICO)
